What Food Factories Should Confirm Before Bulk Potato Ingredient Orders
Close the technical approval
Confirm the exact grade, approved sample, formula and production conditions. Record acceptance limits and the method used to test them. Check that the bulk material will be produced or supplied through the same approved route, with changes subject to review.
Where batch variation matters, test more than one lot before treating a single sample result as a stable specification. Identify what must be checked on each incoming shipment.
Check the order against factory operations
Review pack size, pallet or lifting requirements, storage space, opening method and dosing equipment. Consider partial-pack use and stock rotation. Confirm that the planned quantity can be consumed within the accepted shelf-life and storage conditions.
A large order may lower the quoted unit price while increasing storage, handling and ageing costs. Compare usable output and the factory's actual consumption plan rather than purchasing volume alone.
Confirm the commercial and delivery details
Agree quantity, lead time, price basis, payment, delivery terms and the document set. Check which stages are included in the promised date and which depend on transport or customer approval. Establish a named contact and escalation route for changes.
If a backup grade or supply source is proposed, qualify it before it is needed. Do not allow an availability problem to turn into an unapproved formula change.
Define acceptance and discrepancy handling
Specify who inspects arrival condition, reviews the COA and authorizes use. Agree what evidence is needed if a lot fails and how affected stock will be identified and held. Retain the approved reference and trial method for a fair comparison.
The final order review should close unresolved technical and operational questions. A signature on a purchase order does not resolve an ambiguous specification; the ambiguity usually reappears at the receiving dock or production line.
