Bulk Potato Ingredient Purchasing: From Sample to Container Shipment
Sample and specification
Begin with an application brief and a traceable sample. Record the grade, lot and test preparation, then compare against the current reference on representative equipment. Convert successful trial conditions into an agreed specification and application acceptance method.
The specification should identify what will be purchased, not merely describe the best sample. Include methods, limits, packaging and documentation relevant to the intended use.
Quotation and order confirmation
Align quantity, price basis, delivery term, packing, lead time and the responsibility for import requirements. Confirm payment and discrepancy handling through the commercial agreement. Any requested customization should have a clear approved scope.
Before production starts, make sure both parties hold the same specification and artwork versions. Resolve ambiguous product names or a proposed alternative grade while there is still time to test it.
Production, release and loading
Track the order through production or sourcing, lot inspection, quality release and packing. Review the actual lot documents rather than reusing the sample report. Identify any change that could affect the earlier approval and obtain a decision before dispatch.
Inspect the transport unit and loading arrangement, reconcile counts and labels, and record the shipment identity. Complete the required document checks before the goods are released to transport.
Arrival, use and repeat ordering
Record arrival condition and verify identity before use. Evaluate the first production run against the agreed method, keeping the delivered lot connected to the result. Report discrepancies with samples, photographs and process conditions where relevant.
Review technical performance, accepted yield, documents and delivery against the order. Only then decide whether to increase volume or revise the agreement. A complete purchasing cycle ends with verified use of the goods, not with the departure of the container.
