Reducing Risk When Sourcing Potato Ingredients from China
Verify the counterparty and supply route
Start with the legal seller, manufacturing or sourcing arrangement and the exact product offered. Match company details across the quotation, contract and relevant supporting records. A website, certificate image or product photograph is a lead for verification, not complete proof of capability.
Separate product qualification from commercial negotiation. A favourable price should not compensate for an unidentified manufacturing site, unclear grade or unresolved essential requirement.
Make the sample representative
Record the sample's lot, grade, date and packaging. Agree whether it represents regular production and how the bulk product will be matched to it. Test the application under representative conditions, retaining the reference and the full method.
For an unfamiliar supplier or grade, a controlled initial order provides evidence about lot consistency, documents and delivery. Do not approve a large commitment solely because an untraceable sample performed well.
Document commercial and change controls
The agreement should connect product specification, quantity, packaging, delivery terms, timing, inspection and the treatment of discrepancies. Review payment arrangements with the responsible commercial team according to the transaction risk and agreed contract.
Confirm payment instructions through an established channel, especially if they change. Similarly, require approval for changes to grade, manufacturing site or packaging. A last-minute substitution can invalidate earlier technical approval even when the order value is unchanged.
Check the destination before dispatch
Confirm the commodity classification and applicable import, food-safety and label requirements with the importer and relevant authorities or adviser. Requirements differ by product and market; no generic worldwide certificate pack covers every shipment.
Before loading, reconcile lot identity, release results and documents. At arrival, record condition and compare the delivered material with the agreement. This sequence turns risk control into repeatable checks rather than a one-time impression of the supplier.
