Reading Potato Ingredient Quality Documents: Specifications, COAs and Certificates
Know the role of each document
A specification defines the agreed product and limits. A COA reports results or stated conformity for an identified lot. A management-system certificate covers an organization, site and scope. A declaration addresses a particular issue such as composition or an applicable claim. These documents answer different questions.
Build a document index linked to the exact grade and supplier route. Avoid accepting a general company document as evidence for an unrelated product or manufacturing site.
Read the COA beyond pass or fail
Check lot identity, sample or production dates where provided, test methods, units and result basis. Distinguish measured values from specification limits and typical values. For functional tests, concentration, temperature and preparation can be essential to interpreting the number.
Compare the COA with the agreed specification and the delivered label. Investigate unexplained changes or inconsistent units before release. A result within a chemical limit may still need an application check where process performance is critical.
Verify scope, status and declarations
Verify certificates through the relevant register or issuer and check their current status and product or site coverage. For allergen, composition, non-GMO or other declarations, identify the basis and whether the statement applies to the exact grade and process. Do not infer every claim from one certificate.
Official import documents, when required, should be checked separately against the destination rules. A quality file does not replace the importer's applicable legal responsibilities.
Keep the approved file current
Record version, review date and the person responsible for accepting each document. Agree notification of relevant product, site or process changes. Keep previous approved versions so that a later complaint can be assessed against the requirements in force at delivery.
The most useful file connects identity, safety, function and traceability. Its purpose is to support a defensible release decision, not to maximize the number of certificates collected.
Quality-file review questions
| Document | It can establish | It does not establish alone |
|---|---|---|
| Specification | Agreed identity and acceptance requirements | The result of testing the delivered lot |
| COA | Reported results or conformity for an identified lot | Suitability in every customer process |
| System certificate | Status and scope of a certified system | Every batch meets every product requirement |
| Application report | Performance under recorded trial conditions | Performance under untested conditions |
