Packaging, Inspection and Shipment Control for Bulk Potato Ingredients
Release the lot before loading
Pre-shipment control connects the approved product to the goods that actually leave the warehouse. Confirm lot identity, quantity, specification, release status and remaining shelf life against the order. Do not treat a booking confirmation or a finished packing operation as evidence that quality release is complete.
Resolve discrepancies before loading and keep held material identifiable. Record who approves dispatch and which documents support that decision.
Inspect the package and its information
Check seals, damage, cleanliness, net-weight control and label legibility using an agreed inspection plan. Compare product name, lot, dates and handling information with the approved artwork and order. Mixed labels or a correct label on the wrong grade can defeat otherwise good traceability.
Where pallets or other handling units are used, connect the individual packs to the unit identification. Record any rework and confirm the final count after repacking.
Check the load environment
Before loading, assess the vehicle or container for cleanliness, dryness, odour, damage and suitability for the cargo. Use an agreed loading plan that considers pack strength, weight distribution, handling and the risk of movement. Moisture-control measures should match the route and packaging rather than be added as a routine substitute for a dry container.
Record container or vehicle identity, loading condition, lot positions where useful, count and seal information. Photographs can support the record but do not replace the inspection criteria.
Close the shipment record
Reconcile the packing list, invoice, transport document and relevant lot reports before release to the customer. Assign responsibility for the final document check and any correction. Provide the receiving team with the information needed to identify the goods and record arrival discrepancies.
Retain the link from order to package to shipment. If a later complaint concerns damaged bags or a mixed lot, this chain allows the team to narrow the affected scope instead of treating the entire order history as one undifferentiated shipment.
